1. Introduction
This Privacy Policy describes how One More Turn Ventures LLC ("OMTV," "we," "our," "us") collects, uses, shares, and protects information when you interact with us — including through phone calls, SMS/MMS messages, our website, and the One More AI Employee service. If you do not agree with this policy, please do not use our services.
2. Information we collect
- Account information: Business name, contact name, email, phone number, billing address, and payment details (payment details are handled and stored by Stripe, not by us).
- Call data: Recordings and transcripts of phone calls to or from the Service, including audio, text, caller ID, and call metadata (time, duration, disposition).
- SMS/MMS content: Messages sent to or from phone numbers associated with your account, including any media attachments.
- Conversation data: Chat logs, website form submissions, appointment bookings, and review requests generated through the Service.
- Technical data: IP addresses, browser/device information, and cookies from website visits.
3. How we use your information
- To deliver the Service — answering your calls, booking appointments, sending review requests, etc.
- To communicate with you about your account, billing, support, and service updates.
- To send SMS/MMS messages you have consented to receive (see Section 6).
- To improve the Service — tuning AI prompts, analyzing call outcomes, training internal models on aggregated/anonymized patterns. We do not sell your identifiable data.
- To comply with legal obligations, respond to lawful requests, and enforce our Terms.
4. Sub-processors we share with
We use trusted third-party services to deliver the Service. These sub-processors have their own privacy policies governing how they handle data we pass them:
- GoHighLevel (HighLevel Inc.) — CRM, calendars, workflows, conversation storage.
- Twilio — telephony (inbound/outbound voice, SMS/MMS), phone number provisioning.
- Vapi — AI voice agent orchestration.
- ElevenLabs — text-to-speech synthesis.
- Deepgram — speech-to-text transcription.
- OpenAI / Anthropic — large language model processing for agent responses and analysis.
- Stripe — payment processing and subscription management.
- Microsoft (Graph API / Azure) — email delivery and hosting infrastructure.
We do not sell personal information to third parties, and we do not share it for their independent marketing purposes.
5. Data retention
- Call recordings and transcripts: retained for the life of your account plus 4 years after termination (to satisfy telecommunications audit and dispute windows).
- Account and billing records: retained for 7 years after account termination for tax and accounting compliance.
- Website analytics and logs: retained for 13 months.
- Anonymized / aggregated data: may be retained indefinitely for service improvement.
You may request earlier deletion of specific records at any time (see Section 8); we will comply unless legal obligations require retention.
6. SMS/MMS messaging
Consent. We send SMS/MMS messages only to recipients who have consented to receive them. Consent is captured in one of three ways:
- Verbal consent during a live phone call — when you agree during a consultation or sales call to receive a follow-up text (e.g., "yes, text me the signup link"). The call recording and transcript serve as the consent record.
- Written consent at signup — by signing up for the Service, you consent to receive transactional and service-related SMS (onboarding notifications, billing alerts, retention check-ins).
- Explicit opt-in via webform or text keyword — where applicable.
Message types. Messages may include: signup/checkout links after a consultation, onboarding notifications, billing/payment reminders, service check-ins, and account notifications.
Frequency. Message frequency varies; expect up to 4 messages per month on an active account under normal use.
Costs. Message and data rates may apply, per your mobile carrier.
Opting out. Reply STOP to any SMS to immediately unsubscribe. Reply HELP for support. These keywords are processed automatically by our carrier and do not require intervention from our team.
Data sharing restriction. SMS consent and mobile phone numbers collected through the Service are not shared with third parties for their marketing purposes and are not sold.
7. Cookies and tracking
Our website uses essential cookies for site functionality and, optionally, analytics cookies (Google Analytics or similar) to understand aggregate usage patterns. We do not use advertising cookies or third-party tracking pixels. You can disable cookies via your browser settings, though some site features may not work.
8. Your rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Request deletion of your information (subject to retention obligations in Section 5).
- Restrict or object to certain processing activities.
- Port your information to another service.
- Withdraw consent (for processing based on consent) at any time.

California residents (CCPA/CPRA): you have the right to know, delete, correct, and opt out of the sale or sharing of personal information. We do not sell personal information.
9. Security
We use industry-standard technical and organizational measures to protect your information: encryption in transit (TLS), encryption at rest for sensitive fields, access controls, and audit logging. No system is perfectly secure; we cannot guarantee absolute security, but we work to minimize risk and will notify affected users promptly in the event of a material breach.
10. Children
The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe we have, contact us and we will delete it.
11. International users
We operate from the United States. By using the Service from outside the U.S., you consent to the transfer of your information to the U.S. and its processing here.
12. Changes to this Privacy Policy
We may update this policy from time to time. Material changes will be communicated by email to the address on your account at least 14 days before taking effect. The "Last updated" date at the top of this page reflects the most recent revision.
